Definition

The Client refers to the individual/person(s)/company/association using the facilities at Northants Cricket.

Confirmation of Booking

All bookings must be confirmed to Northants Cricket by returning a signed Function Sheet via post or fax, along with the deposit (see below). At this point your booking is subject to these Terms & Conditions. Final Numbers, timings, menus & any special requirements must be confirmed in writing to the Conference & Events Department at least 5 days prior to the reserve date for conference related events & 21 working days for Weddings & private parties. You will be invoiced for this amount should your number of guest fall below this on the event date.

Deposits & Charging Arrangements

50% of the Full Room Hire charge is payable upon confirmation up to 3 months prior to the event date. After this time, the Full Room Hire amount is payable upon confirmation.
Full payment for any catering &/or pre-booked drinks & balance of the Room Hire will be required in advance. An invoice will be sent 28 working days prior to the event date. All payments must be received no later than 14 days prior to the event date.

Bar

A fully working bar (draft beer included) can be arranged on the understanding that the minimum spend will be £250. A credit card swipe will be required prior to your event & will be utilised if minimum spend is not reached. Alternatively a “Bottle Bar” can be arranged. Should a bar account be required, this must be requested at the time of the booking & will be at the discretion of Northants Cricket. All bar accounts must be settled in full at the conclusion of the Conference/Private Party or Wedding via Debit/Credit card or cash.

Cancellation Charges —Room Hire & Catering

In the event of a reservation having been confirmed in writing & then cancelled, the following policy will be applied.
If Cancelled 3 months before the event date - No Charge
Cancellation received within 3 month – 30 days - 25% of Total Cost
Cancellation received within 30 – 15 days - 75% of Total Cost
Cancellation received 14 days or less of the reservation date - 100% of Total Cost
If Northants Cricket resell the cancelled facilities, the price of such facilities successfully resold will be taken into account when invoicing in respect of the cancellation charges are raised. Definitive cancellation charges due can only be confirmed to the client once the reserved date of the event has passed.

Variation to the Price

All prices quoted or listed by the Conference & Events Department at Northants Cricket are based on the prices ruling at the time of quotation & do not constitute an order. Prices maybe subjected to adjustment prior to the service being provided to cover any increase taxation, duty, cost of labour or in the event of the booking being reduced in duration or number of persons attending.

Clients Use of Northants Cricket Premises

The Hirer shall pay for any loss or damage to any part of the premises, or to any fixtures, fittings & equipment which is caused by the hirer or their guests. We will not be held responsible for damage to any articles brought into the premises.

Liability of Northants Cricket

Northants Cricket carries Public Liability Insurance to the value of £10 million.

Health & Safety

Northants Cricket shall provide the client, on request, the health & Safety Policy Statement.

Force Majeure

Northants Cricket shall incur no liability to the client if performance of the contract is prevented or hindered by any cause whatsoever beyond Northants Cricket’s control & in particular, but without prejudice to the generality of the foregoing, by the act of God, war, riot, civil commotion, Government controls, restrictions or prohibitions or any other Government act or omission whether local or national fire, flood, subsidence, sabotage, accident, strike or lock out & shall not be liable for any loss or damage resulting there from suffered by the client.
If a match is “abandoned” (without a ball being bowled) due to adverse weather conditions, an alternative date will be offered free of charge (this does not include catering / bar expense, which will be charged at the normal cost).
